Administrative Sales Coordinator

Responsibilities:   

  1. Targeted Email Outreach: Execute daily outreach campaigns by sending 100-150 personalized emails to potential clients, showcasing specific cleaning services as directed by management.
  2. Quotation Management: Generate and send accurate and timely quotations to clients based on their requirements and in alignment with company pricing guidelines.
  3. Invoice Generation: Prepare and issue invoices for completed sales transactions, ensuring accuracy and compliance with financial protocols.
  4. Sales Support: Collaborate with the sales team to provide necessary administrative support, including data entry, report generation, and documentation management.
  5. Customer Interaction: Engage with clients professionally, addressing their queries, providing information, and ensuring a positive customer experience.
  6. Order Coordination: Work closely with internal departments to coordinate the delivery of cleaning services once sales are confirmed.
  7. Software Systems Maintenance: Oversee the upkeep and optimization of our software systems, ensuring their functionality and efficiency in supporting daily operations.
  8. Documentation: Organize and file sales-related documents, contracts, and agreements to ensure easy retrieval and compliance with company policies.
  9. Communication Liaison: Act as a bridge between the sales team and other departments, ensuring smooth flow of information and effective collaboration.
  10. Process Enhancement: Identify opportunities for streamlining outreach and sales processes, proposing improvements to boost efficiency.

Qualifications and skills:

  1. High school diploma or equivalent; bachelor’s degree in business administration or related field is a plus.
  2. Strong organizational skills and attention to detail.
  3. Excellent written and verbal communication skills.
  4. Proficiency in email communication and MS Office suite (Excel, Word, Outlook).
  5. Ability to prioritize tasks, manage time effectively, and work independently.
  6. Basic understanding of sales processes and customer relationship management.

Adaptability to work in a fast-paced environment and handle multiple tasks simultaneously.
