Administrative Sales Coordinator
- Targeted Email Outreach: Execute daily outreach campaigns by sending 100-150 personalized emails to potential clients, showcasing specific cleaning services as directed by management.
- Quotation Management: Generate and send accurate and timely quotations to clients based on their requirements and in alignment with company pricing guidelines.
- Invoice Generation: Prepare and issue invoices for completed sales transactions, ensuring accuracy and compliance with financial protocols.
- Sales Support: Collaborate with the sales team to provide necessary administrative support, including data entry, report generation, and documentation management.
- Customer Interaction: Engage with clients professionally, addressing their queries, providing information, and ensuring a positive customer experience.
- Order Coordination: Work closely with internal departments to coordinate the delivery of cleaning services once sales are confirmed.
- Software Systems Maintenance: Oversee the upkeep and optimization of our software systems, ensuring their functionality and efficiency in supporting daily operations.
- Documentation: Organize and file sales-related documents, contracts, and agreements to ensure easy retrieval and compliance with company policies.
- Communication Liaison: Act as a bridge between the sales team and other departments, ensuring smooth flow of information and effective collaboration.
- Process Enhancement: Identify opportunities for streamlining outreach and sales processes, proposing improvements to boost efficiency.
Qualifications and skills:
- High school diploma or equivalent; bachelor’s degree in business administration or related field is a plus.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in email communication and MS Office suite (Excel, Word, Outlook).
- Ability to prioritize tasks, manage time effectively, and work independently.
- Basic understanding of sales processes and customer relationship management.
